Parents choose an open slot with their child’s teacher on the Parent Portal, without phoning the office.
Every teacher’s calendar
Teachers see their own activities, open slots and meetings. Administrators see every teacher’s calendar.
Automatic emails
Confirmations, reminders, changes and cancellations are emailed to parents, with a calendar file to add the meeting to their own calendar.
How it works
- Add your teachers with the grades and classes they teach.
- Set meeting times: the dates, the times each day, and a slot length of 15, 30, 45 or 60 minutes.
- Block times when teachers aren’t available, for example during assessments.
- Parents book on the Parent Portal, or staff book for them.
- ScholaSys emails parents every morning at 08:00 about their upcoming meetings.
Good to know
- Slots are only offered on school days: never on weekends, public holidays or during school holidays.
- Several teachers can join one meeting about a child.
- Teachers can block a single slot on their own calendar.
- Changing meeting times never cancels a meeting that is already booked.
Questions schools ask
When are parents emailed about meetings?
Every morning at 08:00 South African time. Parents get a reminder for meetings in the next two school days, and a confirmation for meetings booked by staff for a later date.
Can more than one teacher attend a meeting?
Yes. Staff booking a meeting can invite the child’s other teachers.
Are meeting slots offered during school holidays?
No. Slots are only offered on school days inside your terms, and never on public holidays.
