ScholaSys · Debit Orders
Collect school fees by debit order
ScholaSys works out what each family owes and submits their debit order to NetCash on the day they chose, so fees come in on time without chasing payments.
What it does for your school
Calculated from the account
The amount comes from each family’s balance once the month’s invoices and payments are captured, so nobody works out amounts in a spreadsheet.
Each family’s own day
Every account has its own debit order day, including the last day of the month, which ScholaSys works out each month.
One failure doesn’t stop the rest
Debit orders are submitted in a batch per day. An invalid transaction fails on its own, and every other debit order still goes through.
How it works
- Capture the family’s banking details and signed debit order mandate on the child’s record, and choose the debit order day.
- Capture the payments from your bank statement and raise next month’s invoices.
- On each debit order day, ScholaSys groups the debit orders due into one batch and submits it to NetCash.
- Correct any failed transactions and submit them again.
Good to know
- Uses your school’s NetCash debit order service.
- An account whose debit order is returned unpaid for certain reasons, such as a closed account, is switched off for debit orders until new banking details are saved.
- Parents see their next debit order date on the Parent Portal.
- Debit order batches stay listed, so you can see what was submitted and when.
Questions schools ask
Which debit order provider does ScholaSys use?
ScholaSys submits debit orders through NetCash.
What happens when a debit order fails?
Only that transaction fails; the rest of that day’s batch, and every other day’s batch, are processed in full. You correct the failed transaction in ScholaSys and submit it again.
Can parents choose their debit order date?
Yes. Each account has its own debit order day, including the last day of the month.
