ScholaSys keeps every family’s account and posts a summary to Sage Business Accounting or QuickBooks Online each time you process a batch, so nobody captures school fees twice.
What it does for your school
No double capturing
Every time a batch of invoices or other transactions is processed, ScholaSys posts a journal to your accounting system by itself.
Clean books
Family accounts stay in ScholaSys. Your accounting system holds a summary, with income on your own accounts, such as school fees or stationery.
Easy bank reconciliation
Payments are captured against your bank in the accounting system, and allocated to the child’s account in ScholaSys.
How it works
- In Sage or QuickBooks, create your income accounts and two accounts for ScholaSys: a debtor control account and a payment clearance account.
- In ScholaSys, link your income accounts.
- Process your batches as usual. ScholaSys posts a journal for each batch, dated the last day of the month.
- Capture payments in the bank in your accounting system, and against the child’s account in ScholaSys.

- Works with Sage Business Accounting and QuickBooks Online.
- A GL transactions report lists every processed transaction for any month.
- Schools without an accounting system can export every transaction list to Excel.
- Your accountant and auditor see the same totals in both systems.

Do we still need our accounting system?
Yes, for your general ledger, bank and financial statements. ScholaSys keeps the family accounts and sends a summary of each batch to your accounting system.
Are parents set up as customers in Sage or QuickBooks?
No. Family accounts are kept only in ScholaSys. The accounting system holds one debtor control account for all of them.
